Fleet Management SaaS & Mobile App

Redesign & Design System

Context

The fleet management platform was used by a variety of clients, from municipal fleets to airports. Over time, new features were added such as vehicle reservation, telemetry monitoring, and invoicing. Each client used a different mix of these features, which were integrated in a fixed way.

Industry Context

SaaS for industrial fleet operations

Challenge

This setup limited scalability and flexibility, both for the product and for future business models. At the same time, the platform allowed clients to select their own theme colors, which often resulted in inconsistent, visually disharmonious, and sometimes inaccessible UIs.

The challenge was to transform the platform into a modular, scalable SaaS product with a unified design language — one that could adapt to diverse clients while maintaining usability and visual consistency.

Proto-Problem Statement (DE)

Design Studio Workshop + Evaluation (DE)

Approach

  1. Redesign & Design System

The platform was restructured with a modular architecture, enabling features to be offered and sold as independent add-ons (e.g., invoicing, telemetry, winter service).

I created a design system with standardized typography, color, and components to ensure consistency across web and mobile. To preserve brand identity without compromising usability, unlimited color customization was replaced by logo integration — maintaining client recognition while keeping the interface cohesive.

  1. Industrial Features

  • Automated Invoicing

  • Designed workflows to automate invoicing for fleet operations in municipal and canton contexts, reducing manual errors and administrative effort.

  • Winter Service Operations (Airport Use Case)

  • Developed a real-time map interface for monitoring snowplows and de-icers during airport winter operations. Conducted contextual inquiries directly in the vehicles to understand environmental and usability constraints.

  • Telemetry Dashboards

  • Translated raw vehicle telemetry into digestible dashboards, supporting quick decision-making by fleet managers.

  1. Mobile Driver App

Designed a companion app for drivers, enabling vehicle booking, keyless entry, and incident reporting. The interface focused on simplicity and accountability, minimizing friction while ensuring reliable reporting and integration with the fleet platform.

Outcome & Impact

  • Transitioned the platform into a scalable, modular SaaS system.

  • Delivered a design system that reduced design and development overhead.

  • Simplified workflows for invoicing, telemetry, and winter operations.

  • Supported new business models by enabling modular feature sales.

  • Improved visual consistency and usability while preserving client identity through logo branding.

Lessons Learned

  • Designing for scalability is as critical as designing for usability.

  • Restricting customization can improve quality, accessibility, and consistency.

  • Field research provides unique insights when designing for high-pressure industrial environments.

  • Collaboration with developers and product owners ensures feasibility and adoption.
